What is the difference between an 'In-House' venue AV provider and hiring an outside production company?

This depends entirely on the venue. Most in-house Hotel AV technology services are restricted to very basic daily seminar setups. If your event requires special theatrical lighting, performance grade sound, and larger than small-gathering video paired with professional tech support personnel, then it is important to bring in Equalized Productions. Some things to consider when deciding are...

  • Understand what your venue can offer as “in-house” vs bringing in another vendor.
  • Ask for references and qualifications of the in-house AVL team that will be assigned to your event.  Often, they are basic AV technicians with limited knowledge on large-scale AV
  • What technology exists as “in-house”.  
  • Is the in-house sound capable of supporting your event?
How do you handle audio-visual 'Redundancy' to prevent technical failures during a live event?

We can run presentations in tandem across two computers in the event one computer fails. Bringing extra components is also wise in the unlikely event a projector or other component fails.

What are the standard AV requirements for a 500-person corporate gala?

Standard AV requirments include...

  • Podium with podium mic
  • HDMI input sources at Dias and at tech booth

Do you provide technical consultations or site walk-throughs before the event date?

Yes we do! We usually recommend bringing Equalized Productions in during the conceptualization stages, even if you have not decided on a venue yet. We are happy to assist with venue selection also.

How far in advance should we book production services to ensure equipment availability?

The more time, the better to ensure a smooth and successful event! But often, events need to be coordinated last-minute, which is ok. Equalized Productions can usually accommodate any event within a two-week notice. Some timelines to consider are...

  • Event venues and services are usually contracted about 8-10 months in advance of your event.
  • Talant is usually booked about 4-6 months in advance of your event.
  • Technology packages are usually booked about 4-6 months in advance of your event.

Yes. Equalized Productions will always start by visiting the venue and discussing the goals of the event. We will then get to work designing the technology package around what is needed for the venue, for the event, and the budget. When assessing a venue we

What is the best way to integrate professional lighting and video for a high-end gala or fundraiser?

Sound and video systems need to be custom built around the venue and what the Gala’s overall goals are. These systems need to be integrated so that they do not distract or impair the goals of raising money. How do we do this?

  • We ensure all your guests can see video content well.
  • Lighting needs to stay out of your guests’ eyes.
  • Ensure your Auctioneer is all set and comfortable.
Do you offer mobile staging and covered stage options for festivals or community events?

Yes! We offer covered mobile staging options for outdoor events and festivals. Some of the things we do for mobile staging are,

  • Hire professionals to ensure safe setup and have good safety protocols
  • Ensure you get the right type of stage for your event
  • Coordination with key performers to ensure technical riders and expectations are adequately negotiated.

How do you handle outdoor event challenges such as power distribution and weather-related backups?

We have a comprehensive weather plan that our staff are trained on regularly. In the event of weather challenges we will utilize weather tracking resources to determine the ongoing safety of an event. Our outdoor equipment is IP rated and can tolerate some rain so that we can prioritize managing life safety during events.

Can you help coordinate technical riders for guest speakers or musical performers?

Yes! Leave the industry specific negotiations to us. Technical and hospitality riders can add unexpected expense and frustration to an event. Let us handle negotiating and fulfilling the riders so your team can enjoy the event.

Do you provide on-site technical staff and sound engineers for the duration of an event?

Yes! All of our events have the option to have technical staff and sound engineers. If we provide the sound system, we provide the team to run it! That includes,
